This article provides detailed instructions on configuring approval workflows using Asanify's AI-powered rule setter. This tool allows HR administrators to simply specify the desired approval hierarchy, which the system then converts into a structured workflow.

Step 1 - Login as admin to Asanify

Begin by logging into the system as an administrator.

Step 2 - Go to Company → Approvals

Navigate to the 'Company' section, and select 'Approvals'.

Step 3 - Choose the workflow you want to set up

Within the 'Approvals' section, you will see various approval workflows. To set up an approval workflow for the leave request process, click on the relevant option.

Step 4 - Click “Edit” to modify the workflow

Click on the 'Edit' button to modify the workflow.

Step 5 - Add a new approval step

Add a new approval step by selecting the appropriate option.

Step 6 - Click on "Use AI to define the Approvers"

Identify who should serve as the approvers in this workflow. To use AI for defining approvals, click on the relevant option and enter your instructions in simple English in the pop-up window.

Step 7 - Enter prompt and click “Generate”

Enter a prompt such as, "Approver should be the requester's manager or maybe HR admin." After entering the prompt, click 'Generate'.

Step 8 - AI generates structured approval logic

The system will generate the logic and configure the workflow steps accordingly.

Step 9 - Click “Use this definition” to apply

If satisfied with the result, click 'Use this definition' to apply it to the workflow steps.

Step 10 - Create complex workflows with nested roles

You can also use this feature to generate complex, nested workflows as well.

For example, you might specify approvers as the requester's manager or an L2 manager, whose role could be 'admin' or 'HR admin'. After entering the details, click 'Generate'.

Step 11 - Review logic and confirm to apply

Review if the system correctly interprets the logic. By clicking 'Use this definition', the system will apply it to the workflow.
