Asanify offers role-based access controls to ensure that each user sees only the features and data relevant to their responsibilities. Here's a breakdown of the different user roles available in the system:

1. Admin

Access Level: Full
Typical Users: Company Owners, CXOs, HR Heads

Key Permissions:

  • Complete access to all modules across the platform

  • Can view and manage payroll, salary, loans & advances, and other financial data

  • Can manage employee records, onboarding, offboarding, and document uploads

  • Can assign roles to other users (including Super Admin)

2. HR Admin

Access Level: Restricted
Typical Users: HR Managers, People Operations

Key Permissions:

  • Access to all modules except those involving financial data
    (e.g., payroll processing, payslip access, salary structure edits)

  • Can manage:

    • Leave and attendance

    • Employee profiles and documents

    • Can onboard employees

  • Cannot:

    • View or download payslips of other employees

    • Access payroll, payruns, termination payroll etc

    • Create salary components

    • Offboard employee

3. Super Admin

Access Level: Full
Typical Users: Designated point of control in companies with multiple admins

Key Responsibilities:

  • Has all Admin-level permissions

  • Receives the OTP for sensitive actions like payout authorization

  • Only one Super Admin is allowed per company account

4. Normal User

Access Level: Limited
Typical Users: Employees

Key Permissions:

  • Can:

    • View their own profile and documents

    • Download their own payslips

    • Apply for leaves and attendance

  • Cannot:

    • View other employees’ sensitive information

    • Make any changes to company settings or policies

Q: Can there be more than one Admin in a company?
Yes. You can have multiple Admins, but only one of them can be assigned as the Super Admin.

Q: Can HR Admins process payroll?
No. HR Admins cannot access or process payroll or any financial information.

Q: Can HR Admins offboard employees?

No. HR Admins cannot offboard employees because the offboarding process includes termination payroll, which involves financial data. Only users with Admin or Super Admin access can perform employee offboarding.
