As an admin, how do I use custom fields to assign more than one managers or approvers to employees in Asanify

Custom fields in Asanify allow you to capture additional, organization-specific information for each employee. These fields are fully configurable and can be used to streamline workflows, and customize approval chains.

What Are Custom Fields?

Custom fields are additional data fields that admins can define and assign to employees. Unlike standard fields like "Department" or "Designation," custom fields can be created to reflect any unique attribute that your organization uses.

For example:

  • Secondary Approver

  • Functional Manager

  • Region

  • Client Code

Create a Custom Field

Step 1 - Navigate to Custom Fields under Company Tab

Login to Asanify as an Admin. Click on Custom Fields under Company tab on the left navigation pane.

Step 2 - Create a Custom Field

Click on + New Field and enter name and description of the desired field and click on Next.

Select the Data Type for this custom field. Choose Text for standard information (like Region or Client Code), or Person if the field will be used in approval workflows (such as Manager, Secondary Approver, or Functional Manager). You can also choose to enter a placeholder text. Click on Next.

Select the permissions settings and click on Next to view the summary. Click on create to create a Custom Field.

Using Custom Fields in Approval Workflows

One of the most powerful use cases of custom fields in Asanify is in approval workflows. When you define custom fields with selected data-type as Person, these can be dynamically referenced in workflow steps.

Example Use Case: Functional Manager in a Leave Approval Workflow

Suppose your organization requires employees to get leave requests approved by both their direct line manager and their functional manager.

Instead of manually configuring approvers for each employee, you can design a workflow like this -

  • Employee = Requester’s Manager AND

  • Employee = Requester's Functional Manager

This setup ensures that -

  • The right domain expert (Functional Manager) approves Leave Requests

  • The workflow automatically adapts if a functional manager is changed in the employee's profile

  • Employees experience a seamless, transparent approval process
