As an admin, how do I view and manage all salary versions of an employee.

Step 1 - Navigate to the Employee Profile

Go to the People tab from the left navigation bar.

Search for the employee whose salary history you want to view by typing their name in the search box.

Click on the employee's name to open their employee profile.


Step 2 - Access the Salary Tab

Once you're on the employee profile page, click on the Salary tab located at the top of the page.

You will see the current salary details displayed on this page, including:

  • Effective From date

  • Payout From month

  • Compliances (PF, ESI, PT, LWF)

  • A status chip indicating whether the salary is Current, Past, or Upcoming


Step 3 - View All Salary Versions

To view all salary versions for this employee, click on the eye icon (πŸ‘οΈ) button located in the top-right corner of the Salary Details section.

This will open a dialog showing all salary versions in a table format.

The salary versions table displays the following information for each version:

  • Effective From - The date from which the salary became/becomes applicable

  • Payout From - The payroll month from which the salary is/was paid

  • CTC - The Cost to Company amount with currency

  • Applicable Compliances - Badges showing which compliances apply (PF, ESI, PT, LWF)

  • Status - Color-coded chip showing whether the salary is:

    • Current (Green) - Currently active salary

    • Past (Gray) - Previous salary that is no longer active

    • Upcoming (Gray) - Future-dated salary not yet effective

  • Actions - Delete button for removing salary versions

You can search through salary versions using the search box at the top of the table.

The table is automatically sorted by Effective From date in descending order (newest first).


Step 4 - View Details of a Specific Salary Version

Click on any row in the salary versions table to view the complete breakdown of that specific salary version.

The salary details will be displayed in the main section, showing:

  • All salary components (Basic, HRA, Special Allowance, etc.)

  • Custom earnings and deductions

  • Compliance settings

  • Total CTC and breakup

This allows you to compare different salary versions and understand how the salary structure has changed over time.


Additional Information

Important Restriction: Only Latest Salary Can Be Revised or Updated

Note: You can only revise or update the latest salary version. The Revise Salary and Update Salary buttons will be disabled when viewing any salary version that is not the latest.

When you hover over these disabled buttons, you will see a tooltip message: "Revising or Updating of salaries is only applicable on latest salaries"

This restriction ensures data integrity and prevents conflicts in salary history.

Understanding Salary Status

  • Current - The salary that is currently in effect based on today's date

  • Past - Salaries with effective dates that have already passed and are no longer active

  • Upcoming - Salaries with future effective dates that will become active on their specified date

Deleting Salary Versions

Only admins can delete salary versions. To delete a version:

  1. Click on the delete icon in the Actions column

  2. Confirm the deletion in the confirmation dialog

  3. Note: Be careful when deleting salary versions as this action affects payroll calculations and history

When You Should View Salary Versions

  • When reviewing salary increment history for performance reviews

  • When auditing salary changes for compliance purposes

  • When investigating payroll discrepancies

  • When preparing compensation reports

  • When an employee requests salary history information
