Step 1 - Navigate to Expense Custom Fields
Log in to Asanify as an Admin.
Click on Expenses in the left navigation bar.
Select the Custom Field tab.
You will see a table listing all your expense custom fields.
Step 2 - Open the Edit Panel for the Custom Field
Locate the Single Select custom field whose list items you want to update.
Click the pencil (edit) icon in the Actions column for that field.
An edit panel will slide open from the right side of the screen.
Note: The list items section is only available for custom fields with the Single Select data type. If the field is a Text Box, no list items section will appear.
Step 3 - Add a New List Item
Scroll down to the List Items section inside the edit panel.
Click the + Add New List Item button.
A new blank input field will appear at the bottom of the list.
Type the value for the new list item in the input field.
Note: Each list item value must be unique. Duplicate values are not allowed and will be flagged with a validation error.
Step 4 - Delete an Existing List Item
In the List Items section, locate the item you want to remove.
Click the red delete icon (trash icon) to the right of that list item.
The item will be removed from the list immediately.
Note: You cannot delete a list item if it is the only remaining item β at least one list item must always be present. The delete icon will not appear when only one item remains.
Step 5 - Save Your Changes
Once you have finished adding or removing list items, click the Update button at the bottom of the edit panel.
Your changes will be saved and the updated list of options will reflect the next time employees fill in this custom field on an expense.
Additional Information
Who can add or delete list items?
Only users with the Admin role can edit expense custom fields, including adding or deleting list items.
What happens to previously submitted expenses?
Deleting a list item does not affect expenses that were already submitted with that value. Existing expense entries will retain their previously selected value.
Validation rules for list items
Each list item value must be non-empty.
All list item values must be unique within the same custom field.
At least one list item must exist at all times β you cannot save a Single Select field with zero list items.
