Step 1 - Navigate to the Arrear Calculations Report
From the left navigation bar, click on Analytics.
Select the Payroll tab at the top.
Click on Arrear Calculations Report from the list of available payroll reports.
Note: This report is accessible to admins only.
Step 2 - Apply Filters (Optional)
Before loading the report, you can narrow down results using the available filters:
Search Person — Search by employee name or ID to view arrears for a specific employee.
Salary Effective from — Select a date range to filter by when the salary revision took effect.
Additional filters for Employee Status, Department, Designation, and Employment Type are also available.
Once your filters are set, click the Load button to fetch the report data.
Note: Arrears for a month are calculated only after that month's payroll has been processed and paid. If you expect to see arrears but the table is empty, ensure the relevant payroll months have been run. You can automate arrears calculation by doing a retrospective salary revision to trigger arrear computation automatically.
Step 3 - Review the Arrear Calculations Table
The report table displays one row per salary revision per employee.
Each row includes:
Name — Employee's full name. Hover over the name to see their Employee ID, Department, and Designation.
ID — Employee ID.
Revised Salary — The new CTC after the salary revision.
Effective from — The date from which the revised salary is applicable. To understand how salary revisions work, refer to the guide on revising an employee's salary.
Payout Month — The payroll month in which the arrear is scheduled to be paid out.
Arrear Amount — Total arrear amount calculated for this salary revision.
Status — The current arrear calculation status (see below).
Details — Click the eye icon to open the detailed breakdown for that employee.
Understanding Arrear Statuses
Not Calculated — No arrears have been calculated for this salary revision yet.
Partially Calculated — Arrears were calculated for some eligible months; remaining months are still pending.
Calculated — Arrears have been fully calculated for this salary revision.
Added to Payroll — All calculated arrears have been added to payroll for this employee.
You can hover over a status chip to see a month-wise breakdown of which months were calculated and their respective amounts.
Step 4 - View the Arrear Calculation Breakdown
To see a detailed calculation for a specific employee, click the eye icon in the Details column. A side panel titled Arrear Calculation Breakdown will open on the right.
The breakdown panel shows:
Name — Click the employee's name to open their profile directly.
Total Arrear Amount — The total arrear amount calculated across all eligible months.
Arrear Status — Overall status of arrear calculation for this salary revision.
Below the summary, a timeline shows the full arrear period:
Salary effective from — The start date of the revised salary.
Arrear Month entries — One entry per month in the arrear period. Each month shows a Calculated (blue) or Not Calculated (red/orange) chip.
Payout Month — The month when the total arrear amount will be paid out.
Expanding a Month's Component Breakdown
Click the chevron (expand) button on any Arrear Month entry to see a component-level breakdown for that month. The table shows:
Salary component — The name of the earning component (e.g., Basic, HRA, Special Allowance).
Previous amount — The component amount before the salary revision.
Revised amount — The component amount after the salary revision.
Arrear amount — The difference (revised minus previous) for that component in that month.
If a month shows Not Calculated, it means payroll for that month has not yet been processed and paid.
Tip: To control which salary components are eligible for arrear calculations, refer to the guide on enabling or disabling arrears for a salary component.
Step 5 - Export the Report
To download the arrear data, click the Export button at the top right of the report table. The data will be downloaded as a CSV file named Arrear_Calculations_Report.
The export is disabled if the table has no data matching the current filters.

Prerequisites
You must be logged in as an Admin.
Arrears are generated when an employee's salary is revised with an Effective from date in a past payroll month. See the guide on retrospective salary revision and arrear automation.
Arrear amounts for a given month are only computed after that month's payroll has been processed and paid.

When viewing a breakdown, you may see an Ask AI button next to the Total Arrear Amount. Click it to ask a free-text question about that employee's arrear breakdown. This is for informational purposes only and should not be considered financial advice.
