Step 1 - Open the leave policy list
From the left menu, go to Leave, then Policy. This lists every leave policy in your company.
Step 2 - Start a new policy
Click Create. The policy builder opens on a five-step stepper: Basic, Accrual Rules, Reset Rules, Application Constraints and Summary. You cannot jump straight to Reset Rules — each step unlocks the next, so fill Basic and Accrual Rules first.
Step 3 - Move on to the reset rules
At the bottom of the Accrual Rules step, click Set Reset Rules. If the button does nothing, a required field above it is still empty — the step will highlight whatever is missing.
Step 4 - Choose how often the balance resets
Under How often should reset happen?, pick a frequency. Asanify shows a short hint under your choice so you can confirm it before moving on, for example Leave Balance will reset year on year for an annual reset or Leave Balance will reset every three months for a quarterly one.
Most annual-leave policies use a yearly reset. Choose a shorter frequency only when the balance genuinely needs to clear more often, such as a monthly compensatory-off policy.
Step 5 - Set the month the cycle starts in
Under What is the start month of the reset cycle?, pick the month the leave year begins. January gives you a calendar leave year; April gives you an Indian financial-year cycle, which is covered in more detail in setting a leave policy to a financial year cycle.
This is the setting people most often get wrong. It anchors the whole leave year, so a policy that resets in the wrong month will hand employees their new balance at the wrong time.
Step 6 - Decide whether the reset lands at the start or the end
Under Does reset happen at the beginning or at the end of the period?, choose Beginning of period or End of period. Beginning means the balance is set on the first day of the new cycle, so employees can use the new entitlement straight away. End means it is set as the current cycle closes.
Step 7 - Check the dates before you save
Click Preview Reset Dates. Asanify lists the actual dates your settings produce, so you can confirm the cycle behaves the way you expect before any employee is affected. If the button is disabled, a required field in this step is still empty.
Read the preview against a real employee in your head: if the dates look a year out or land mid-month, go back to Step 5 and check the start month.
Step 8 - Finish the policy
Click Set Application Constraints to continue, complete that step, then review everything on Summary and save. The reset cycle takes effect for every employee assigned to this policy.
Additional Information
The reset cycle is a single choice for the whole policy. It is not set per employee and it does not vary by how long someone has worked with you.
Changing the reset cycle on an existing policy affects everyone assigned to it. Preview the dates first, and expect the change to move when balances clear.
