As an Admin, how do I assign an asset to an employee in Asanify?

Assigning an asset hands it to an employee and starts tracking who has it. The employee sees it on their own profile and acknowledges receipt from there, and you can check that status at any time from the same profile.

Your company must have the IT asset register switched on, and you must be a tenant admin, HR admin, or an IT asset admin, to assign an asset. An IT asset admin without one of the other admin roles can open the register and assign assets, but can only view their own Assets tab, not another employee's — Step 4 below needs a tenant or HR admin.

Step 1 - Start an assignment

Go to Apps, then Assets, to open the asset register. The assign icon only appears on an asset's row when its status is Available — an asset that is already assigned or retired has no assign icon in the register. Click the assign icon in that asset's row. You can also open the asset's own page and choose Assign from the Actions menu, where the menu explains why an unavailable asset can't be assigned; both ways open the same dialog.


Step 2 - Fill in and submit the assignment

In Employee, search by name or Employee ID and pick who should receive the asset — this is required. If that employee has an approved asset request, Against an approved request (optional) lists it so you can link the two; leave it as No request to assign without one. Set Condition at handover if you want it recorded, so it can be compared when the asset is returned later. Click Assign to confirm.

If the asset becomes unavailable before you submit — for example someone else assigned it first — the dialog shows the error. Close the dialog and pick a different asset from the register; the dialog itself doesn't let you switch assets.


Step 3 - The employee acknowledges receipt

The asset appears on the Assets tab of the employee's own profile, with a banner counting how many assets are waiting for their acknowledgement. They click Acknowledge on the asset's row, review its serial number, assigned date and condition at handover, then confirm they've received it in the condition shown. Acknowledge disappears from that row once they've confirmed.


Step 4 - Check assignment status from the employee's profile

Open the employee's profile and go to their Assets tab to see the same assignment: Current assets shows its acknowledgement status as Acknowledged or Awaiting, and Past assets lists it once it has been returned. Click the eye icon on a current asset's row to open its full details, including its assignment history.
