Step 1 - Navigate to Team Documents
Go to Documents > Team tab in the main navigation menu. This section displays all company documents that are visible to all employees.
Step 2 - Identify Documents Requiring Acknowledgment
In the documents table, look for documents that have a special icon in the Actions column. Documents that require acknowledgment will show a document-check icon (outline style).
Hover over the icon to see a tooltip that says: "This document requires acknowledgement. Click to acknowledge."
Note: If you've already acknowledged a document, you'll see a filled checkmark icon instead, and the tooltip will say: "This document has been acknowledged."
Step 3 - Open the Document for Review
Click the document-check icon (outline style) in the Actions column for the document you need to acknowledge. This will open a drawer on the right side of your screen (or full screen on mobile devices).
The drawer will display:
A message at the top: "Please review and acknowledge this document as required by your company"
The document name
The document content (preview or download option)
Step 4 - Review the Document
For PDF and image files:
The document preview will be displayed in the drawer
You can expand or collapse the preview by clicking the chevron button next to the document name
Scroll through the document to read its contents
For other file types (Word, Excel, etc.):
Click the Download button to download and review the document on your device
Open the downloaded file using the appropriate application on your computer
Take your time to read and understand the document before proceeding to acknowledge it.
Step 5 - Acknowledge the Document
After reviewing the document, you'll see a checkbox at the bottom of the drawer with the text: "I acknowledge that I have read and understood this document."
Check the checkbox to confirm you've read and understood the document
Once the checkbox is checked, the Acknowledge button will become enabled (it will be disabled until you check the box)
Click the Acknowledge button to submit your acknowledgment
Important: Once you acknowledge a document, the acknowledgment is recorded with a timestamp and cannot be undone. Make sure you've fully read and understood the document before acknowledging.
Step 6 - Confirm Acknowledgment
After clicking Acknowledge, you'll see a success message confirming that the document has been acknowledged successfully. The drawer will automatically close, and you'll be returned to the documents list.
In the documents table, the icon next to the document will now change to a filled checkmark, indicating that you've completed the acknowledgment.

Prerequisites
You must have portal access to view and acknowledge documents
The document must be assigned to you by your admin (this happens automatically for company documents that require acknowledgment)
You must be able to access the Documents > Team section
Understanding Document Status
Document-check icon (outline): This document requires acknowledgment and you haven't acknowledged it yet
Filled checkmark icon: You have already acknowledged this document
No special icon: This document does not require acknowledgment
Tips
Read documents carefully before acknowledging, as acknowledgments cannot be reversed
If you have questions about a document, contact your HR department or manager before acknowledging
You can download documents for your records before acknowledging them
Check the Team documents section regularly for new documents that require acknowledgment
Troubleshooting
Q: I don't see any documents requiring acknowledgment. Why?
A: Either there are no documents currently assigned to you that require acknowledgment, or you may not have portal access. Contact your admin if you believe you should see acknowledgment-required documents.
Q: Can I unacknowledge a document if I made a mistake?
A: No, once a document is acknowledged, the acknowledgment cannot be reversed. This ensures proper audit trails for compliance purposes. If you have concerns about a document you've already acknowledged, contact your HR department.
Q: The document preview isn't loading. What should I do?
A: Try clicking the Download button (if available) to download the document instead. If the issue persists, contact your IT support or admin for assistance.
Q: I checked the box but the Acknowledge button is still disabled.
A: Make sure the checkbox is fully checked. If it's checked and the button is still disabled, try refreshing the page. If the problem continues, contact support.
Q: Can I acknowledge a document on mobile?
A: Yes, the acknowledgment process works on mobile devices. The drawer will open in full screen on mobile for easier viewing.
