Step 1 - Navigate to Leave Application

From the Dashboard, click on the Leave dropdown in the left navigation pane.

Click on Apply from the dropdown menu.

Make sure Apply for myself is selected.


Step 2 - Fill in Leave Details

Select the Type of Leave from the dropdown (e.g., Sick Leave, Casual Leave).

Choose your leave dates by selecting the From and To dates.

The system will automatically calculate the number of days you're requesting.


Step 3 - Add Proof/Supporting Document

Below the date selection, you'll see two buttons: + Reason and + Proof.

Click on the + Proof button to expand the document upload section.

Note: Some leave policies may require document upload if you're applying for a certain number of days (e.g., medical certificate for sick leave exceeding 3 days). If a document is mandatory, you'll see a red asterisk (*) next to the file selection label.


Step 4 - Upload Your Document

Once the document upload section is visible, click the Select from Device button.

A file picker window will open. Navigate to the document you want to upload from your computer.

Select your file and click Open.

Accepted file formats:

  • PDF (.pdf)

  • Images (JPG, JPEG, PNG)

  • ZIP files (.zip)

Maximum file size: 10 MB


Step 5 - Review and Submit

After uploading the document, you'll see the file name displayed in the upload section.

Optionally, you can click the + Reason button to add a text reason for your leave (maximum 60 characters).

Review all your leave details:

  • Employee name

  • Leave type

  • Date range

  • Number of days

  • Attached document

  • Reason (if added)

Click the Create Leave Request button at the bottom to submit your leave application.

When is Document Upload Required?

Document upload becomes mandatory based on your company's leave policy settings. Typically:

  • Medical certificates for sick leave beyond a certain number of days

  • Supporting documents for special leave types

  • Any leave exceeding a threshold defined in the policy

If a document is required, the Create Leave Request button will remain disabled until you upload a file.

Removing or Changing an Uploaded Document

If you want to change the uploaded document before submitting:

  • Click the - Proof button to collapse the section (this will remove the uploaded file)

  • Click + Proof again to re-open the upload section

  • Upload a different document

File Upload Troubleshooting

File too large: If you see an error about file size, ensure your document is under 10 MB. You can compress PDF files or reduce image quality to meet this requirement.

Unsupported file format: Make sure your file is in one of the supported formats (PDF, JPG, JPEG, PNG, or ZIP).

Upload failed: Check your internet connection and try uploading again. If the problem persists, contact your HR administrator.

Tips

  • Scan quality: For scanned documents, use clear, high-resolution scans to ensure readability.

  • File naming: Use descriptive file names (e.g., "Medical_Certificate_Jan2026.pdf") to help identify documents later.

  • Multiple documents: If you need to attach multiple documents, combine them into a single PDF or create a ZIP file containing all documents.

  • Privacy: Uploaded documents are securely stored and only accessible to authorized personnel (your manager and HR administrators).
