Step 1 - Navigate to Onboarding Tasks
From the left navigation bar on your Dashboard, click the Life Cycle dropdown menu.
Select Onboarding Tasks from the dropdown options.
You will see a list of existing onboarding tasks (if any) on the left side of the screen and a Create a new Task form on the right side.
Step 2 - Enter Task Name and Description
In the Create a new Task panel on the right side, enter the following details:
Task Name (Required): Enter a descriptive name for the task (maximum 80 characters).
Example: "Complete employee handbook acknowledgment"
Example: "Set up work email and accounts"
Task Description (Optional): Add additional details about the task (maximum 500 characters).
This field helps provide context about what needs to be done
You can include specific instructions or requirements here
Step 3 - Select Who the Task is Assigned To
From the Select Assigned to Role dropdown, choose one of the following options:
Employee: The task will be assigned to the new employee who is being onboarded.
Manager: The task will be assigned to the employee's manager.
Other: The task will be assigned to a specific individual. If you select this option, an additional Select Individual field will appear where you can search and select any employee from your organization.
Note: When assigning tasks to managers or other specific individuals, ensure they have the necessary permissions and access to complete the assigned task.
Step 4 - Set the Task Deadline
From the When is the task due? dropdown, select one of the following options:
Before Joining Date: The task must be completed before the employee's joining date.
If you select this option, a How many days? field will appear
Enter the number of days before joining when the task should be completed
Example: If you enter "3", the task deadline will be 3 days before the employee's joining date
On Joining Date: The task must be completed on the employee's first day.
No additional fields are required for this option
After Joining Date: The task must be completed after the employee joins.
If you select this option, a How many days? field will appear
Enter the number of days after joining when the task should be completed
Example: If you enter "7", the task deadline will be 7 days after the employee's joining date
Tip: For time-sensitive tasks like setting up work equipment or sending welcome emails, use "Before Joining Date" to ensure everything is ready when the employee starts.
Step 5 - Submit the Task
Once all required fields are filled in, click the Submit button at the bottom of the form.
You will see a success message: "Awesome!! Task Created Successfully!"
The newly created task will appear in the list of onboarding tasks on the left side of the screen.
You can click Create a new Task to add another task, or view your created tasks in the list.
Additional Information
Viewing All Onboarding Tasks
After creating tasks, you can view the complete list of onboarding tasks at any time. From this list, you can also edit or manage existing tasks as needed.
Task Details Display
Each task in the list shows:
Task name and description
Who the task is assigned to (role or specific individual)
Deadline information (days before/after joining or on joining date)
Editing Existing Tasks
To edit an existing task, locate it in the task list on the left side and click the Edit button. You can update the task name, description, assigned role, or deadline.
Note: The Delete option for tasks is currently disabled to maintain data integrity.
Using Onboarding Checklists
For a more organized onboarding experience, consider grouping related tasks into onboarding checklists. Checklists allow you to combine multiple tasks and assign them together to employees during onboarding.
Best Practices
Create tasks for all critical onboarding activities (account setup, paperwork, training sessions, etc.)
Assign appropriate deadlines to ensure tasks are completed in the right sequence
Use descriptive task names and detailed descriptions to avoid confusion
Assign tasks to the right people based on their responsibilities
Regularly review and update your onboarding tasks to reflect current processes
