Step 1 - Navigate to Tasks
Login to Asanify as an Admin.
Click on Tasks in the left navigation menu.
You will see two tabs:
My Tasks - Tasks assigned to you
Reportees' Tasks - Tasks assigned to your team members
Step 2 - Create Task Form
Step 3 - Enter Task Name
In the Task Name field, enter a clear and descriptive name for the task (maximum 80 characters).
Example: "Prepare Q1 Financial Report" or "Review Marketing Campaign Proposal"
This field is required and helps identify the task at a glance.
Step 4 - Add Task Description (Optional)
In the Task Description (Optional) field, you can add detailed information about the task (maximum 500 characters).
Use this space to provide context, specific instructions, or any relevant details that will help the assignee understand what needs to be done.
Note: While optional, adding a description helps ensure clarity and reduces back-and-forth communication.
Step 5 - Assign the Task to an Employee
Click on the Assign To dropdown field.
Search for and select the employee you want to assign this task to.
By default, you can assign the task to yourself by selecting "Yourself" from the dropdown.
Tip: You can search by employee name to quickly find the person you want to assign.
Step 6 - Set the Deadline
Click on the Deadline field to open the date and time picker.
Select the date and time by which the task should be completed.
The deadline follows the assignee's timezone, ensuring the due time is accurate for their location.
Note: A help icon (?) appears next to this field with a tooltip: "Follows assignee timezone" to remind you that the deadline will be set according to the employee's local time.
Step 7 - Set a Reminder (Optional)
Click on the Reminder dropdown to set when the assignee should receive a reminder notification.
Available reminder options:
None - No reminder will be sent
At task due time - Reminder sent at the exact deadline
30 mins before - Reminder sent 30 minutes before the deadline
1 hour before - Reminder sent 1 hour before the deadline
1 day before - Reminder sent 24 hours before the deadline
1 week before - Reminder sent 7 days before the deadline
Custom - Choose a specific date and time for the reminder
Important:
The reminder dropdown is disabled until you set a deadline
Reminders are sent via email to the assignee
The reminder also follows the assignee's timezone
Some options may be disabled if they fall in the past (e.g., if the deadline is in 2 hours, "1 day before" won't be available)
If you select Custom, an additional Reminder Date field will appear where you can specify the exact date and time for the reminder.
Step 8 - Submit the Task
Review all the task details to ensure accuracy.
Once you've filled in all required fields (Task Name, Assign To, and Deadline), the Submit button will become active.
Click on Submit to create the task.
Step 9 - Confirmation
After successful submission, you will see a success message: "Awesome! Task Created Successfully!"
A Create New Task button will appear, allowing you to quickly create another task if needed.
The newly created task will now appear in:
The assignee's My Tasks list
Your Reportees' Tasks list (if you're their manager)
Additional Information
Task Permissions
Only admins and managers can create tasks and assign them to employees
You can assign tasks to yourself or any employee in your organization
If you're a manager, you can assign tasks to your direct and indirect reportees
Viewing Created Tasks
To view tasks you've created or assigned, navigate to Tasks > Reportees' Tasks. You can learn more about viewing and managing tasks in our task management guide.
Task Status
Tasks start with an Incomplete status. The assignee can mark them as complete by checking the checkbox next to the task in their My Tasks view.
Email Notifications
When a task is created and assigned:
The assignee receives an email notification about the new task
If a reminder is set, they'll receive an email reminder at the specified time
Task reminders are sent to the assignee's work email address
Task Deadlines and Reminders
Deadlines must be set in the future
Reminders cannot be set for a time that has already passed
Both deadlines and reminders respect the assignee's timezone setting
If the assignee's timezone is not configured, the system uses Asia/Kolkata (IST) as the default
Best Practices
Be specific: Use clear task names and detailed descriptions
Set realistic deadlines: Give assignees enough time to complete the task
Use reminders wisely: Set reminders for important tasks or tasks with tight deadlines
Regular follow-up: Check the Reportees' Tasks tab regularly to monitor task progress
Update task details: If requirements change, you can edit the task details from the task list
