Which Analytics Reports Support Email Scheduling?

Currently, email scheduling is available for the following Attendance Analytics reports:

  • Attendance Summary - Aggregated attendance metrics for a selected period

  • Daily Clocks & Hours - Raw clock-in/clock-out times per day for employees over a time range

  • Daily Location - Clock-in/clock-out data with geolocation information

  • Regularization Requests - Summary and status of attendance regularization requests

  • Today's Status - Snapshot of today's attendance status across all employees

Note: Email scheduling is not available for Leave, People, Payroll, or Workflow analytics reports at this time.

Step 1 - Navigate to the Analytics Report

Login to Asanify as an Admin.

Click on Analytics in the left navigation pane, then select Attendance from the tabs.

Select the report you want to schedule (Attendance Summary, Daily Clocks & Hours, Daily Location, Regularization Requests, or Today's Status).

Step 2 - Configure Report Filters and Settings

Select your desired date range for the report (if applicable).

Apply any filters you need to narrow down the data (such as department, employee status, or specific employees).

Select your preferred Column Configuration from the dropdown to choose which columns should appear in the report.

Click Load Report/Charts to preview the report data with your selected settings.

Step 3 - Open Email Schedule Creation

Once your report is loaded with the desired filters and configuration, locate the Share button in the top-right corner of the report table.

Click on Share to open the dropdown menu.

From the dropdown, click on Email to open the email scheduling drawer.

Step 4 - Configure Email Schedule Details

In the email scheduling drawer, you'll see your report settings summary (Report Name, Configuration, and Filters applied).

Fill in the required fields:

  • Schedule Name - Enter a descriptive name for this email schedule (e.g., "Daily Attendance Report" or "Weekly Regularization Summary")

  • Frequency - Select how often the report should be emailed:

    • Daily - Report will be sent every day at the specified time

    • Weekly and Monthly options are coming soon

  • Time - Select the time when the report should be sent

  • Timezone - Choose the appropriate timezone for the scheduled time

Step 5 - Select Email Recipients

In the Recipients field, start typing employee names to search.

Select one or multiple employees who should receive this scheduled report email.

Only active employees in your organization can be selected as recipients.

Step 6 - Save the Email Schedule

Review all your settings to ensure everything is correct.

Click Create Schedule to save the email schedule.

You'll see a success message confirming the schedule has been created.

The drawer will automatically close and show you the Manage Scheduled Emails view.

Step 7 - Manage Your Scheduled Emails

To view and manage your existing email schedules:

Click on the Share button for any supported analytics report.

Select Manage Emails from the dropdown menu.

You'll see a table listing all your scheduled emails for that report, showing:

  • Schedule Name

  • Frequency (Daily, Weekly, Monthly)

  • Time (when the report is sent)

Click the eye icon in the Actions column to view the full details of any scheduled email.

Additional Information

How the Email Delivery Works

  • Reports are prepared and emailed automatically at the scheduled time based on the timezone you selected

  • The email will contain the report data as an attachment based on the filters and configuration you set when creating the schedule

  • Recipients will receive the report at the specified time according to your chosen frequency

Important Points to Remember

  • Email scheduling is currently only available for Attendance Analytics reports

  • Only Daily frequency is currently supported; Weekly and Monthly frequencies are coming soon

  • The report will use the same filters and column configuration you had selected when creating the schedule

  • Recipients must be active employees in your Asanify account

Tips for Best Results

  • Use descriptive schedule names to easily identify different scheduled reports (e.g., "Finance Dept Daily Attendance" instead of just "Daily Report")

  • Consider your recipients' timezones when selecting the delivery time

  • Review your scheduled emails periodically to ensure they're still needed and going to the right people

  • Test your schedule by creating one for yourself first before adding other recipients
