Step 1 - Navigate to the Attendance Summary Report

Login to Asanify as an Admin.

On the left navigation pane, click on Analytics to expand the menu.

Click on Attendance under Analytics.

You will see the six available Attendance Analytics reports. Click on Attendance Summary to open it.


Step 2 - Apply Filters

Before loading the report, configure your filters. The Attendance Date filter is required; all others are optional.

  • Attendance Date (Required) — Select the start and end date for the period you want to analyse. By default, this is set to the first day of the current month through today.

  • Person Status — Filter by employee status: Active, Resigned, Onboarding, or Offboarded.

  • Employment Type — Filter by Employee, Contractor, or both.

  • Employee — Search and select specific employees to narrow the report.

  • Department — Filter the report to a specific department.

  • Designation — Filter the report to a specific designation.

Note: Ensure your attendance policies are set up correctly before generating this report, as attendance calculations depend on the policy assigned to each employee.


Step 3 - Load the Report and Charts

Once your filters are set, click the Load Report/ Charts button.

The system will fetch data and display:

  • A data table with one row per employee showing their attendance breakdown for the selected period.

  • Visual charts above the table summarising attendance trends.


Step 4 - Review the Report Table

The report table shows the following metrics for each employee:

  • Employee ID — Unique identifier of the employee

  • Full Name — Employee's full name

  • Department — Department the employee belongs to

  • Designation — Employee's designation

  • Date of Joining — Employee's joining date

  • Expected Payable Days — Total payable working days in the selected period

  • Present — Number of days the employee was present

  • Late — Number of days the employee clocked in late

  • Leave — Number of approved leave days taken

  • Weekly Off — Number of weekly off days

  • Holiday — Number of public/company holidays

  • Paid Off Days — Total paid off days (leave + weekly off + holiday)

  • Absent — Number of days marked absent

  • Leave Without Pay — Number of unpaid leave days taken

  • Unpaid Off Days — Total unpaid off days

  • Hours Worked — Total hours worked during the period

Use the Search bar to quickly find a specific employee by name, date, or any other value in the table.

To customise which columns are visible, click Select Column Configuration and choose the fields you need.

For detailed individual attendance records, you can view an employee's attendance information from the Attendance section.


Step 5 - Explore the Charts

The report includes three interactive charts to help you visualise attendance data:

  • Hours Worked by Department (Pie chart) — Shows the distribution of total hours worked across departments.

  • Hours Worked by Person (Bar chart) — Compares hours worked by individual employees.

  • Average Status by Department (Stacked chart) — Breaks down average attendance statuses (Present, Late, Leave, Weekly Off, Holiday, Absent, etc.) by department.


Step 6 - Export the Report

To download the report for offline use or further analysis, click Export CSV to download the report data as a CSV file.

As an Admin, you also have access to the Share menu, which allows you to:

  • Export CSV — Download the report directly.

  • Email — Send the report to one or more email addresses.

  • Manage Emails — Configure the saved email list for recurring report distribution.


Additional Information

Prerequisites

  • Employees must be added to the system and assigned an attendance policy for their data to appear in this report.

  • The date range for the Attendance Date filter is required — the report will not load without it.

Supported Filters for Large Teams

For large organisations, use the Department or Designation filters to segment the report and keep it manageable. You can run multiple filtered exports and combine them as needed.

Report Accuracy

Attendance calculations are based on the attendance policy assigned to each employee. If you notice incorrect data, verify that the correct policy version is active. You can view and manage attendance policy versions to ensure historical data is evaluated against the right rules.
