Step 1 - Navigate to Leave Analytics

Login to Asanify as an Admin.

  • In the left navigation pane, click on Analytics.

  • Under Analytics, click on the Leave tab.

  • You will land on the Leave Analytics page. Click on Leave Balances to open the Leave Balances Report.


Step 2 - Set Your Filters

Before loading the report, configure the filters to narrow down the data you want to see.

  • Select Dates (required) — Choose a From and To date. The report will show all leave balance activity within this period.

  • Employee Status — Filter by status such as Active, Resigned, etc. Defaults to Active.

  • Employment Type — Filter by Employee or Contractor.

  • Policy Status — Defaults to Active policies only.

  • Assignment Status — Defaults to Active assignments only.

You can also apply additional filters by clicking the Filters option:

  • Employee — Select specific employees.

  • Designation — Filter by designation.

  • Department — Filter by department.

  • Policy Name — Filter by a specific leave policy.

Note: The Select Dates filter is mandatory. The report will not load without a date range.


Step 3 - Load the Report

Once your filters are set, click the Load Report/Charts button.

The system will process the request in the background and populate the report table. This may take a few seconds depending on the size of your workforce.

You can use the Search bar to quickly find results by Employee Name or Policy Name.


Step 4 - Understand the Report Columns

The Leave Balances Report displays the following columns for each employee–policy combination:

  • Employee ID — Unique identifier for the employee

  • Full Name — Employee's full name

  • Department — Employee's department

  • Designation — Employee's designation

  • Date of Joining — Employee's date of joining

  • Policy Name — Name of the leave policy assigned to the employee

  • From Balance — Opening leave balance at the start of the selected period

  • Initial Balance — Balance at the time the policy was first assigned

  • Accrued Leaves — Leaves accrued during the selected period

  • Manual Reset Leaves — Leaves added or adjusted via manual reset

  • Expiration Changes — Leaves that expired during the period

  • Carry Forward Changes — Leaves carried forward from a previous reset cycle

  • Leaves Taken — Total leaves consumed during the period

  • To Balance — Closing leave balance at the end of the selected period

  • Balance Change — Net change in balance (To Balance − From Balance)

  • Balance Change Type — Classification of the change (e.g., increase, decrease)

You can customise which columns are visible using the Column Configuration option in the table header.


Step 5 - View Detailed Calculations for an Employee

To understand exactly how a particular employee's balance changed during the period:

  • Locate the employee-policy row you want to inspect.

  • In the last column, click the View button under Detailed Calculations.

  • This opens a right-side drawer with a full timeline of leave balance changes, including accrual dates, reset events, and leave applications with detailed reasoning.

Step 6 - Explore Charts

Switch to the Charts tab to visualise leave balance data.

The following chart types are available:

  • Employee-Policy Distribution — Bar chart showing Balance Change by Department, grouped by Policy.

  • Balance Change by Department and Designation — Density heatmap for spotting patterns across teams.

  • Balance Change by Employee-Policy Pair — Box plot showing spread and outliers.

  • Count of Employees by Balance Change Type and Department — Histogram for a high-level distribution view.


Step 7 - Export the Report

To download the report data:

  • Click the Export CSV button in the report table toolbar.

  • A CSV file named Leave_Balances_Report_Asanify.csv will be downloaded to your device.

Note: The CSV export is available to all authenticated users viewing the report. For a server-side download with a custom date-range filename, admin-level API access is required.


Additional Information

Prerequisites

  • Employees must have leave policies assigned to appear in this report.

  • If no data loads, verify that the selected date range overlaps with active policy assignment periods.
