Step 1 - Navigate to Leave Analytics
Login to Asanify as an Admin. On the left navigation pane, click on Analytics to expand the section, then click on the Leave tab.
This takes you to the Leave Analytics landing page, where two report types are available:
Leave Balances – Track leave balances and accrual rates over a defined time period.
Individual Requests – Track and review individual leave requests submitted within a defined time range.
Step 2 - Select the Individual Requests Report
Click on the Individual Requests card. You will be taken to the report generation page (breadcrumb: Analytics > Leave > Individual Report).
Step 3 - Set Your Filters
The report uses a filter panel to narrow down the data. By default, the report is pre-set to show Active and Resigned employees of all employment types for the current calendar month. You can adjust the filters as needed:
Leave Date (required) – Select a start and end date to define the leave period you want to report on. The date range defaults to the first day of the current month through today.
Person Status – Filter by employee status: Onboarding, Active, Resigned, or Offboarded. Multiple statuses can be selected.
Employment Type – Filter by Employee, Contractor, or both.
Employee – Select one or more specific employees to narrow the report.
Department – Filter by one or more departments.
Designation – Filter by one or more designations.
Note: The Leave Date filter is required. The report will not load without a valid date range selected.
Step 4 - Load the Report
Once your filters are set, click the Load button. Asanify will fetch and display all matching leave requests in a table below.
Each row in the report represents a single leave request and includes the following details:
Full Name – Name of the employee
Employee ID – Unique identifier of the employee
Designation – Employee's designation
Department – Employee's department
Date of Joining – Employee's joining date
Work Email – Employee's work email
Policy Name – Leave policy used for the request
From Date – Start date of the leave
To Date – End date of the leave
Requested On – Date the leave request was submitted
Note – Reason provided by the employee when applying for leave
Status – Current status of the request (e.g., Approved, Rejected, Pending)
Leave Count – Number of leave days for the request
Actioned By – Name of the approver who actioned the request
Step 5 - Search and Explore the Report
Once the report is loaded, you can:
Use the Search by Employee Name or Policy Name bar at the top of the table to quickly find specific records.
Click on any column header to sort the data by that column.
Adjust filters at any time — the report will automatically reload with the updated criteria.
Step 6 - Export the Report
To save the data for offline use, click the Export CSV button in the report table toolbar.
The file will be downloaded as Individual_Requests_Report_Asanify.csv.
Additional Information
Who can access this report?
This report is available to all authenticated users in Asanify. However:
Admins can view leave requests for all employees across the organisation.
Non-admin managers can only view leave requests for their direct reports or team members.
Updating filters after the report is loaded
Once the report has been loaded, you can modify any filter (e.g., change the date range or add a department filter) and the table will automatically refresh to reflect the new criteria — no need to click Load again.
Report takes time to load
For large organisations or wide date ranges, the report may take a few seconds to generate. A loading indicator will appear while the data is being fetched. If the report fails to load, try refreshing the page and generating it again.
