Step 1 - Prepare the Files

  1. Collect all the documents you want to upload.

Ensure that each filename contains the identifier, eg - PAN. This will be used to map the file to respective employee.

To ensure successful uploads, please adhere to the following rules:

1. Supported File Types

Only the following file formats are supported currently:

  1. PDF (.pdf)

  2. JPEG (.jpg, .jpeg)

  3. PNG (.png)

Ensure that files conform to these content types to avoid upload errors.

2. File Naming Convention

Each file name must include a valid employee identifier (such as PAN).

Recommended format: PAN_<document name>

Example: ABCDE1234F_Form16.pdf will be mapped to the employee whose PAN is ABCDE1234F.

4. Upload Restrictions

For each employee, a specific document name can only be uploaded once.

Example: If ABCDE1234F_Form16.pdf has already been uploaded, uploading the same document name for that employee again will be rejected.

Step 2 - Create a ZIP File

To create a ZIP file, please follow the given steps -

  1. Select all the renamed document files.

  2. Right-click and choose "Compress to ZIP" (Windows) or "Compress" (Mac).

You can also use compression tools like WinZip to do this.

  3. Important:

    • Do not place files inside folders.

    • All files must be directly in the root of the ZIP file.

  4. Name the ZIP file.

  5. Ensure the final ZIP file is less than 100 MB.

You can read more about the document types and other guidelines here.

Step 3 - Log into Asanify

  1. Log in to Asanify as an Admin.

  2. Navigate to Documents and click on Bulk.

  3. Click on the Upload Documents button.

Step 4 - Upload the Documents

  1. Select the document type. Add a description if you need to.

  2. Select the identifier. This will be used to map each document to the respective employee.

  3. Select the ZIP file and click on upload.

Step 5 - Preview and Edit

  1. Once the files are uploaded, you can check the summary report on the screen.

  2. You can click on the view icon to preview the uploaded document and edit the document name.

This is how you can bulk upload documents in Asanify in just a few clicks.
