Prerequisites

  • You must have Admin access to add or edit compliance details directly. Non-admin employees can only submit a change request for admin approval.

  • The employee must already be assigned to a legal entity whose Country is set to the relevant country (e.g. UAE, Singapore, US). The compliance fields shown are driven entirely by the entity's registered country.


Step 1 - Navigate to the Employee's Profile

From the Dashboard, click on the People option in the left navigation bar.

  • This takes you to the employee directory.

  • Search for the employee by name, department, or designation, and click on their name to open their profile.


Step 2 - Go to the Compliances Tab

Inside the employee's profile, click on the Compliances tab in the top navigation bar.

  • You will see a Compliances card listing all the compliance fields applicable to the employee's country.

  • For example, a UAE employee will see fields like Emirates ID, Labour Card Number, and WPS Person ID.

  • A Singapore employee will see NRIC, FIN, CPF Account Number, and UEN.

  • A US employee will see SSN, EIN, and ITIN.

  • If a mandatory compliance field has no value yet, a small red dot will appear next to the field name indicating it needs to be filled.


Step 3 - Click Edit to Enter Edit Mode

Click the Edit (pencil) icon in the top-right corner of the Compliances card to switch to edit mode.

  • All compliance fields become editable text inputs.

  • Fields marked with a mandatory indicator must be filled before saving.


Step 4 - Enter the Compliance Values

Fill in the values for the applicable compliance fields. Each field represents a statutory or tax identifier specific to the employee's country:

  • TAX identifiers β€” e.g. Tax File Number (Australia), UTR (UK), ITIN (US)

  • Social security / provident fund identifiers β€” e.g. CPF Account Number (Singapore), SSN (US), National Insurance Number (UK)

  • Local statutory identifiers β€” e.g. Emirates ID, WPS Person ID (UAE), PhilHealth Number, Pag-IBIG MID (Philippines)

Note: Some fields have a specific format requirement (e.g. Emirates ID must follow the format 784-XXXX-XXXXXXX-X). If you enter a value in the wrong format, Asanify will show a validation error and prevent saving until the correct format is used.


Step 5 - Save the Compliance Details

Once you have filled in the required fields, click the Update button to save the compliance details directly to the employee's profile.

  • The compliance values are saved immediately without requiring any approval workflow (admin direct-save).

  • The Compliances card returns to view mode showing the updated values.

  • If any mandatory compliance fields are now filled, the red dot indicators will disappear and the employee's profile completion percentage will update accordingly.

What Countries and Compliance Fields Are Supported?

Asanify supports 40+ countries. The compliance fields are loaded dynamically based on the entity's country. Some examples:

Why Are Different Fields Showing for Different Employees?

The compliance fields displayed for an employee are entirely determined by the country of their assigned legal entity. If an employee is assigned to an entity registered in UAE, they will see UAE-specific fields. If they are moved to a Singapore entity, the fields will update to Singapore-specific ones. Ensure each employee is added to Asanify and assigned to the correct entity for the right compliance fields to appear.

What If an Employee Wants to Update Their Own Compliance Details?

Non-admin employees can navigate to their own Compliances tab and click Request Edit instead of Edit. They fill in the new values, add an optional note explaining the change, and click Submit Request. The change request is then sent to the admin for review and approval before the values are updated.

Are Compliance Fields Mandatory for Payroll?

Certain compliance fields may be marked as mandatory depending on your company's profile field configuration. Mandatory fields show a red dot when empty and contribute to the employee's profile completion score. It is recommended to fill in all applicable compliance identifiers before running payroll to ensure accurate statutory calculations and reporting.
