As an Admin, how do I create a new approval workflow for a request type?

Set up a separate approval chain for a request type — for example, a shorter chain for senior employees' leave requests and a longer one for everyone else.

Step 1 - Open Approvals

Go to Company, then Settings, and select the Approvals tab.


Step 2 - Start a new workflow

Click New workflow at the top of the request type's section, or Create Workflow in the sidebar to pick the request type on the form itself.


Step 3 - Fill in the basics

Enter a Workflow name and, optionally, a Description. Choose the Request type this workflow is for. When to initiate this process? shows "On creation" before you pick a request type, and "On creation of [request type]" once you do — every workflow currently runs when the request is created.

Changing the Request type later clears any approval steps and Applies to rule you've already added, without asking first — settle on it before you build those out.


Step 4 - Choose who it applies to

Pick Employees matching these conditions and build a rule, or Everyone not matched by another workflow if this workflow should catch every request the others don't. If the request type already has an Everyone not matched by another workflow workflow, that option is disabled with a note that one already exists.

For a rule, choose whether all or at least one of the conditions must match, then add one or more conditions. Each condition picks a field on the requester or the request, a comparison, and a value. A Summary below the conditions shows the rule in plain English as you build it.


Step 5 - Add approval steps

Click Add approval step, name the step and set who approves it, then continue. Asanify then asks you to Please select a Requester, so it can show you exactly who would approve this step for a real employee.

Once you've picked a requester, click Add Approval Step to keep the step. If you close this preview, or click Go Back and Edit Approval Step, the step isn't added — your entries are still there, so you can just click through to add it again. Add as many steps as the workflow needs, in order. Adding another step is disabled if you've reached the step limit, or if the last step you added only runs under a condition.


Step 6 - Create the workflow

Create workflow stays greyed out until a name, a request type, a complete condition on the Applies to rule (if you chose one), and at least one step are all in place — hover over the button to see what's still missing. Click it once everything's filled in, and you'll land on the new workflow's details page.

To leave without saving, click Cancel. If you've entered anything, Asanify asks you to confirm before discarding it.
