As an Admin, how do I control the order Asanify checks approval workflows in?

When a request type has more than one approval workflow, Asanify checks them top to bottom and uses the first one that matches. This is how you see and change that order.

Step 1 - Open Approvals

Go to Company, then Settings, and select the Approvals tab. Workflows are grouped by request type, for example Leave Request or Expense Request.


Step 2 - Read the evaluation order

Under each request type with more than one active workflow, you'll see the hint "Evaluated top to bottom, first match wins." Workflows are listed in that order — the one at the top is checked first.

The workflow marked Default is always last, with a lock icon and the tooltip "Always evaluated last": it can't be moved, because it's the one Asanify falls back to when nothing else matches. If a request type has only one workflow, there's no order to show and no reorder controls appear.


Step 3 - Move a workflow up or down

Drag a workflow's row by the handle on the left to a new position, or click the handle and use the up and down arrow keys. You can't drop a workflow below the default. As soon as you drop it, Asanify saves the new order and shows a confirmation.


Step 4 - If the order doesn't save

If Asanify can't save the new order, it puts the workflows back the way they were. For most problems you'll see an error message at the top of the screen; if the order you dropped would put the Default workflow somewhere other than last, or is missing a workflow that should be there, you'll instead see "Order not changed" under the table with a short explanation. Either way, try the move again.

Inactive workflows aren't part of the evaluation order — they sit in a collapsed group below it, out of the way, until you reactivate them.
