As an Employee, how do I raise a travel requisition and add its itinerary in Asanify?

This walks you through requesting approval for a work trip and adding the flights, trains, hotel stays or local conveyance it needs.

Written by Vaibhav Kashyap

Step 1 - Open Travel Requisitions

Go to Apps and select the Travel Requisitions tile.

Step 2 - Start a new travel requisition

Click Create Travel Requisition. A drawer opens for you to fill in the trip.

Step 3 - Fill in the trip details

Enter a Travel Requisition Name, then answer Why are you creating this travel requisition? under Purpose. Choose the first and last day of travel, then say whether the trip is Domestic or International. Name, purpose, both dates and the trip type are required before you can save.

Step 4 - Request a travel advance or add a note (optional)

If you need money advanced for the trip, turn on Do you need a travel advance for this trip? and enter the amount under How much travel advance do you need? The advance is processed after the trip is approved.

To leave a note for whoever reviews the request, click Note to all recipients and type it in.

Step 5 - Create the travel requisition

Click Create Travel Requisition. Your trip is saved as a draft, and you land on its itinerary page.

Step 6 - Add a flight, train, hotel stay or local conveyance

On the itinerary page, click Add Flight, Add Train, Add Hotel / Stay or Add Local Conveyance for each leg of the trip. The fields depend on what you're adding:

  • Flight: where you depart from and travel to, the departure date, why you're taking the flight, your preferred cabin class, and an estimated cost.

  • Train: where you depart from and travel to, the departure date, why you're taking the train, and an estimated cost.

  • Hotel / Stay: the city you're staying in, check-in and check-out dates, why you're staying there, and an estimated cost.

  • Local Conveyance: your pickup and drop-off locations and times, an optional reason, and an estimated cost.

For a hotel or local conveyance, the second date or time can't fall before the first.

Step 7 - Save the item and check your itinerary

Click the drawer's Add button to save the leg. It appears in your itinerary, and the trip's Declared total updates to include it. Repeat Step 6 for every leg of the trip.

Step 8 - Edit or remove an item

To change a leg you've already added, click its Edit icon and update the fields. To remove one, click its Delete icon and confirm on Remove Item. This can't be undone, and the declared total updates once it's gone.

You can also click Edit on the trip's basic information to change the name, purpose, dates, trip type, advance request or note, as long as the trip is still a draft.

Step 9 - Submit the travel requisition for approval

Once every leg is added, click Submit for Approval in the right rail. This is available only while the trip is a draft with at least one itinerary item.

Your trip moves to Pending and is sent to your approver. You can no longer add, edit or remove itinerary items on it. While it's pending, you can still click Withdraw Request on the trip's own page to pull it back.
