As an admin, how do I enable an expiry date for the leave balance of a comp off policy?

In this article, we will go through the steps on how an admin may enable an expiry date for the leave balance of a compensatory off policy.

A comp off policy allows employees who work on a non-working day to apply for a comp off policy and then choose any other day to take a leave.

If you want an employee's comp off balance to expire after a certain number of days, you may easily define the number of days in your comp off leave policy.

You may refer to the complete set of steps to create a leave policy for all the steps. This article will focus on the comp off balance expiry part.

After you have entered the basic details of your comp off policy, you may set the policy accrual rules.

  • You may select if your comp off leave balance should have an expiry date. If you want your comp off leave balance to have an expiry date then you may select Yes.

    You may choose the number of Calendar days after which the comp off leave balance would expire.

  • Here are some examples to help you understand how the comp off leave expiration option works:

    If your employee has worked on a public holiday (E.g., 15th August) and if your policy specifies that the comp off leave balance should expire after 7 days, then your employee will not be able to apply for comp off after 7 days. After 7 days the date would be 23rd August. On this day your employee's comp off balance would expire and this balance would be reduced from the employee’s comp off policy.

    Now, if your employee applies for comp off leave one day before the expiration date (22nd August) then the leave will not expire. The admin can choose to approve/reject this leave.

    If your employee applies for leave on the 18th of August (prior to comp off balance expiration which in this example is 23rd August) then the admin may approve/reject the leave. If the admin approves the leave and the employee cancels the leave, then the balance will get credited to the employee's account till the expiration date (in this example the expiration date is 23rd August).

  • As you are aware, admins can manually reset/increase balances for anyone. If that is done for comp off then expiration won't be considered. For e.g., if an employee's current balance is 3 and the Admin manually increases the balance to 4 (not through requests i.e applying on behalf of an employee, but by manually increasing the balance), then the additional balance of 1 doesn't have any expiry. Only 3 leaves would expire in this case.
