Step 1 – Navigate to Job Levels
From the Dashboard, click on Company in the left navigation bar.
From the dropdown, select Settings.
Click on the Job Levels tab.
Note: Only admins can configure job levels.
Step 2 – Set Up Your Level Ladder (First Time)
When you open Job Levels for the first time, Asanify analyses your existing designations and presents an AI-suggested mapping — each designation is pre-placed into a proposed level.
Option A – Accept the AI Suggestions
Review the suggested board. Each column represents a level and each card represents a designation.
Move any card to a different level lane if the placement does not look right.
Once satisfied, click Confirm and apply.
An impact summary will appear showing how many designations and employees will be affected. Click Apply changes to confirm.
Option B – Set Up Manually
Click Set up manually to dismiss the suggestions board and open the Configure form.
How many levels? — Choose a number between 2 and 50 from the dropdown.
How should levels be named?
Numeric — levels are named 1, 2, 3, etc.
Lettered — levels are named L1, L2, L3, etc. You can change the prefix (e.g. "IC", "M") in the Prefix field.
(Optional) Expand Advanced if you want to start numbering from a number other than 1 (e.g. start at 4 for an offset ladder).
The Preview panel on the right updates live as you make changes.
Click Create ladder to save.
Step 3 – Assign Designations to Levels (Level Board)
Once a level ladder exists, you will see the Level Board — a kanban-style board where each column is a level and the bottom tray holds all unlevelled designations.
Note: Employees inherit their level through their designation. Changing a designation's level affects every employee who holds that designation.
Assign a Single Designation
Locate the designation card in the Unlevelled tray or an existing level lane.
Drag and drop the card into the target level lane, OR
Click the card name to enter pick-and-place mode, then click the target level lane.
Bulk Assign Multiple Designations
In the Unlevelled tray, tick the checkbox on each designation card you want to assign.
A bar appears at the top showing the number selected and the available levels.
Click the target level name in the bar to assign all selected designations in one action.
An impact summary will appear — review and click Apply changes to confirm.
Use AI-Suggested Levels
If some designations are still unlevelled, click Suggest levels (top right of the board).
Asanify will suggest levels for the remaining unlevelled designations.
Review the suggestions, adjust any cards, then click Confirm and apply.
Step 4 – Add, Rename, or Deactivate Levels
Add a New Level
Click Add level (top right of the Level Board).
Enter a name for the new level.
The new level is added as the highest rung. Existing levels keep their rank order.
Click Add level to confirm.
Rename a Level
On the Level Board, click the ⋯ (options) icon next to the level name.
Select Rename level, enter the new name, and click Save name.
Deactivate a Level
Click the ⋯ icon next to the level and select Deactivate level.
Deactivating a level removes it from the active ladder without deleting designation assignments.
Step 5 – Edit the Ladder Configuration
To change the number of levels or naming format after initial setup:
Navigate to Company > Settings > Job Levels.
If your ladder is already configured, click the configuration (gear/settings) option to reopen the Configure form.
Update the settings and click Save changes.
Note: Switching between Numeric and Lettered naming only relabels the rungs — it does not affect any existing designation assignments.
Additional Information
How Job Levels Work
Levels are set at the designation level, not per individual employee.
All employees with the same designation share the same job level.
To assign a different level to a specific employee, you would need to update their designation first.
Impact Confirmation
Any batch change — whether from the Level Board, bulk assignment, or AI suggestions — shows an impact preview before it is applied. This displays:
The number of designations changing level.
The number of employees affected.
You can cancel at this stage if needed.
Permissions
Admin: Full access to configure the ladder, assign designations, add/rename/deactivate levels, and use AI suggestions.
Non-admin: Read-only view showing the active level names.
