Step 1 - Open the employee's Offboard page
On the employee's profile, click Offboard. The button only appears for an admin, and only for an employee whose work status is Active.
Step 2 - Choose the Exit Reason
Open the Exit Reason dropdown. Reasons are grouped under three headings: Employee-initiated (Higher Studies, Better Offer, Different Role, Relocation, Medical Condition, Personal Reason, Other), Employer-initiated (Misconduct, Performance Issue, Absconding) and No notice period (Retirement, Contract Expired, Death).
Step 3 - Check the date label and Notice Period
The first date field and the Notice Period field change with the group you picked:
Employee-initiated: the field stays labeled Resignation Date, and Notice Period stays editable. Enter it yourself — the remaining fields only appear once you do.
Employer-initiated: the field is labeled Notification Date, and Notice Period stays editable, with the same requirement.
Retirement, Contract Expired or Death: the field is labeled Retirement Date, Contract End Date or Date of Death. Notice Period is set to 0 automatically and becomes read-only, showing the hint "Notice period does not apply to this exit reason." — and the remaining fields appear right away, since you no longer need to enter a notice period yourself.
Step 4 - Fill in the remaining fields and submit
Set the Exit Date — it stays editable even when Notice Period is locked, but Asanify will not recompute a notice period from it for a no-notice reason. Set the Final Payment Date, enter the employee's personal Contact Email, and add an optional Note. Click Submit to start offboarding.
Step 5 - Confirm the label on the Offboarding tab
After you submit, open the employee's Offboarding tab. It carries the same date label through to the read-only record — for example Retirement Date stays Retirement Date, not Resignation Date.
Additional Information
The four fields submitted with the form are unchanged: only the label on the first date and the lock on Notice Period depend on the exit reason you pick. An employee-initiated reason behaves exactly like the existing resignation flow, with Resignation Date and an editable Notice Period.
