As an admin, how can I add monthly salary values to offer letters and HR letters?

In this article, we will go through the steps on how an admin may add their own calculations to placeholders present in Asanify.

The aim of this article is to help you understand how you may create your own monthly salary values using placeholders that are present in the offer letter and HR letter templates.

If you wish to understand the complete process of creating a template with placeholders you may read more here. This article will focus on how to create mathematical calculations with placeholders.

Here is a step-by-step guide.

Step 1: Go to the hiring tab and click on create a new template.

Step 2: Create the template with the placeholders.

Step 3: Make the offer.

Step 1: Go to the hiring tab and click on create a new template.

  • Go to the Hiring tab in the left navigation bar -> Click on Templates.

  • Click on the Create a new template button.

Step 2: Create the template with the placeholders.

  • Click on View Placeholders.

  • In this example, we will add the {{salary_ctc}} value which is the yearly salary value. We will use this placeholder with a mathematical expression to create a monthly salary value.

  • Click on the Copy button next to {{salary_ctc}} to copy the placeholder text.

  • Then click on the red cross at the top right corner of the pop-up to close the Template Placeholders box.

  • If you choose to upload your own word document you may paste the {{salary_ctc}} value there. Else you may paste the values directly into the box.

  • You can divide the salary_ctc value by 12 -> Example: {{salary_ctc/12}}. This will give you the monthly value in the generated offer letter. You can refer to the image below as well for a clear understanding.

  • Click on Click here to upload word doc instead - then you may upload your word doc.

  • After you have uploaded your doc - Click on the Create button.

  • Click on the Go to Offer Templates option.

Step 3: Make the offer.

  • Click on the Make Offer button.

  • Select the employee who you wish to make an offer to or you may Add a New Candidate.

  • Click on Make Offer.

  • You may click on Download Preview to view a preview of the offer letter or click on Generate PDF to Generate a PDF directly.

  • This is what the Preview would look like.

  • As highlighted in blue below: {{salary_ctc}} will display the annual value (in this case it is 12 lakhs) and the calculation of {{salary_ctc/12}} will display the monthly value (in this case it is 1 lakh).

You may divide, multiply, add and subtract placeholders. Here are some examples of how you may use calculations with placeholders:

  • You may use {{(salary_basic + salary_hra)/12}} for to calculate monthly earnings.

  • You may use {{salary_ctc/12}} to calculate your monthly salary.

  • You may use {{salary_basic*0.1}} to calculate sales commission.

  • You may use {{(salary_basic - salary_advance)}}.
