Step 1 - Navigate to the Profile Completion Report
Login to Asanify as an Admin. In the left navigation pane, click on Analytics and then click on People. From the tabs at the top, click on Profile Completion Percentage.
Step 2 - Apply Filters (Optional)
Before loading the report, you can narrow down the results using the filter panel at the top of the page.
Person Status – Select one or more statuses to include: Active, Resigned, Terminated, or Onboarding. By default, Active and Resigned people are included.
Employment Type – Toggle between Employee, Contractor, or both. This is useful if you want to review completion separately for each type, since mandatory fields can differ between employees and contractors.
You can also add additional filters such as Department, Designation, or specific Employee IDs using the filter builder.
Step 3 - Load the Report
Once your filters are set, click the Load Report Charts button. The system will fetch profile completion data for all employees and contractors matching your filters.
Note: The report may take a few moments to load depending on the size of your workforce.
Step 4 - Review the Profile Completion Table
The report displays a table with the following columns:
Name – The person's full name.
Employee ID – The person's unique ID.
Department – The department the person belongs to.
Completion % – The percentage of mandatory profile fields that have been filled in. This is sortable — click the column header to sort from lowest to highest (or vice versa) to quickly identify employees and contractors with incomplete profiles.
Actions – Click the list icon (View Incomplete Mandatory Fields) next to any row to see a detailed list of which mandatory fields are still missing for that person.
You can also use the search bar at the top of the table to search by name, employee ID, or department.
Step 5 - View Incomplete Fields for a Person
To see exactly which fields are missing for a specific employee or contractor, click the list icon in the Actions column next to their name.
A side panel will open on the right showing all the mandatory fields that have not yet been filled in for that person. You can then navigate to their profile to update the missing information.
Tip: To view the full profile and update their details, go to People > click the person's name. You can also use the timeline view on the profile to track a history of all changes made over time.
Step 6 - Export the Report to CSV
To download the profile completion data for offline use or further analysis, click the Export CSV button at the top right of the table.
The exported file includes the following columns: Employee ID, Full Name, Gender, Department, Designation, Completion %, and Incomplete Mandatory Fields. This covers both employees and contractors based on the filters you applied before loading the report.

Profile Completion on Individual Profiles
Beyond the report view, profile completion is also visible directly on each person's profile — for both employees and contractors.
Viewing the indicator
When you navigate to a person's profile under People > click their name, you will see a circular progress indicator in the top section of their profile (next to their name and status). The indicator displays the current completion percentage (e.g., 85%).
Hovering over the circular indicator shows a tooltip with a breakdown, such as: "17 of 20 mandatory fields filled" — giving you an at-a-glance count of exactly how many fields are still missing.
Note: The indicator only appears if a profile completion configuration has been set up for that person's country and employment type combination in Profile Settings. If no configuration exists, the indicator will not be shown.
Acting on incomplete profiles
Once you can see the completion percentage on a profile, you can update the missing fields directly from the relevant profile tabs:
Work tab – For work-related fields such as Department, Designation, Date of Joining, Manager, and Entity.
Personal tab – For personal fields such as Date of Birth, Gender, Address, Father's Name, and Emergency Contact.
Compliances tab – For statutory compliance fields such as PAN, Aadhaar, UAN, PF, and ESI details.
Other tab – For any custom fields that have been marked as mandatory.
After updating the missing fields, the circular indicator will automatically refresh to reflect the updated completion percentage.
Configuring Mandatory Fields (Profile Settings)
The fields counted towards profile completion are determined by your Profile Settings configuration. As an admin, you can choose which fields are mandatory for each country and employment type combination — meaning you can set different mandatory fields for employees vs. contractors, or for different countries.
To configure mandatory fields:
Navigate to People > Profile Settings.
Select the Country and Employment Type (Employee or Contractor). Each combination has its own independent configuration.
The field configuration panel will load, showing two groups:
Default Mandatory Fields – These are fields that are always mandatory and cannot be changed (e.g., Full Name, Entity).
Additional Fields – These are optional fields that you can toggle to be mandatory. Move fields from the left (Not Mandatory) column to the right (Mandatory) column to make them required.
Click Update Configuration to save your changes. Profile completion percentages for all employees and contractors will be automatically recalculated based on the updated configuration.
Note: Profile Settings supports both standard profile fields (work, personal) and custom fields that you have created for your organisation. Custom fields must be created first before they can appear in the Profile Settings configuration.
