Step 1 - Navigate to the Regularisation Request Details Report
Log in to Asanify as an Admin.
In the left navigation bar, click on the Analytics dropdown.
Select Attendance from the dropdown.
On the Attendance Analytics page, locate the Regularization Request Details card (described as "Regularization Details for a period").
Click on it to open the report.
Step 2 - Set Filters and Load the Report
By default, the report is pre-filtered to show requests from the previous month for employees with a Person Status of Active or Resigned. You can customise the filters before loading data.
Available Filters:
Requested On (required) – Select a date range for which you want to view regularisation requests. This filter is compulsory and must be set before loading.
Request Status – Filter by one or more statuses: Pending, Approved, Rejected, or Cancelled.
Requested By – Filter by specific employees.
Person Status – Filter by employee status: Onboarding, Active, Resigned, or Terminated.
Employment Type – Filter by Employee or Contractor.
Once your filters are set, click the Load button to fetch the report data.
Note: The Requested On date range is required. If it is not set, the Load button will not appear.
Step 3 - Review the Report Data
After clicking Load, the report table will display the following columns for each regularisation request:
Request By – Name of the employee who submitted the request
Employee ID – The employee's ID
Request Type – Type of request (e.g., Attendance)
Requested On – The date the request was submitted
Request Status – Current status: Pending, Approved, Rejected, or Cancelled
Details – A View button to see the full request details
Workflow Journey – A View button to track the approval workflow (if applicable)
Note: These requests include both requests submitted by employees (who can raise attendance regularisation requests themselves) and requests submitted by admins on behalf of employees.
Step 4 - View Request Details
To view the full details of a specific regularisation request:
In the Details column, click the View button (eye icon) for the request you want to inspect.
A pop-up dialog titled Request Details will appear, showing the complete information for that request including clock-in and clock-out times, requested changes, and any notes.
Click the close (X) button to dismiss the dialog.
Step 5 - View Workflow Journey
If a regularisation request was processed through an approval workflow, you can track its journey:
In the Workflow Journey column, click the View button for the relevant request.
The workflow journey will open in a new tab, showing the full approval trail — who approved or rejected the request and when.
Note: The View button in the Workflow Journey column only appears for requests that have an associated workflow. If no button is visible, the request was not processed through a workflow.
Step 6 - Export the Report to Excel
Once the report data is loaded, you can download it as an Excel file for offline analysis or record-keeping:
Click the Export Excel button (download icon) at the top right of the report.
The file will be downloaded automatically. The filename follows the format: Regularization_Request_Details_{dateFrom}_{dateTo}.xlsx.
The exported Excel file includes the following fields for each request:
Requested By, Employee ID, Requested On, Request Status
Requested for Date, Existing Clock In, Regularised Clock In
Existing Clock Out, Regularised Clock Out
Timezone, Actioned By, Actioned On, Action Note
