Step 1 - Navigate to the Profile Completion Report

Log in to Asanify as an Admin.

From the left navigation pane, click on Analytics. You will see a set of tabs across the top. Click on the People tab to view all People Analytics reports.

  • You will see a list of available reports under the People section.

  • Click on Profile Completion Percentage to open the report.


Step 2 - Apply Filters (Optional)

Before loading the report, you can narrow down the results using the filter panel at the top of the page.

The following filters are available:

  • Person Status – Filter by employee status. Options include Active, Resigned, Onboarding, and Terminated. By default, Active and Resigned employees are selected.

  • Employment Type – Filter by Employee or Contractor. Both are selected by default.

  • You can also add more advanced conditions by filtering on Employee ID, Designation, or Department.

Adjust the filters to suit your needs, or leave the default selection to view all active and resigned employees.


Step 3 - Load the Report

Once you have set your filters, click the Load Report Charts button to fetch the data.

  • The table will populate with results matching your filter criteria.

  • If you update the filters after the report has already loaded, the table will automatically refresh to reflect the new selection.


Step 4 - View the Profile Completion Table

The report displays a table with the following columns:

  • Name – The full name of the employee.

  • Employee ID – The employee's unique ID.

  • Department – The department the employee belongs to.

  • Completion % – The percentage of mandatory profile fields that the employee has filled in.

Note: The completion percentage is calculated based on the mandatory fields configured for your company. This includes work fields, personal fields, compliance fields (e.g., PAN, Aadhaar, UAN), and any custom fields marked as mandatory.

You can sort the table by the Completion % column to quickly identify employees with the lowest completion rates.


Step 5 - View Incomplete Mandatory Fields for an Employee

To see exactly which mandatory fields are missing for a specific employee:

  • In the Actions column, click the list icon (checklist button) next to the employee's name.

  • A side panel will open on the right, titled Incomplete Mandatory Fields.

  • This panel lists all the mandatory fields that the employee has not yet filled in, so you know exactly what information needs to be collected.

  • Click the × button in the top-right corner of the panel to close it.


Step 6 - Search Within the Report

Use the search bar at the top-left of the table to quickly find a specific employee.

You can search by:

  • Employee name

  • Employee ID

  • Department

The table will filter in real time as you type.


Step 7 - Export the Report as CSV

To download the report for offline use or sharing:

  • Click the Export CSV button at the top-right corner of the table.

  • A CSV file named PEOPLE_PROFILE_COMPLETION will be downloaded to your device.

The CSV file includes the following columns:

  • Employee ID

  • Full Name

  • Gender

  • Department

  • Designation

  • Completion %

  • Incomplete Mandatory Fields (comma-separated list of missing fields)


Additional Information

What counts toward the profile completion percentage?

The completion percentage is based on the mandatory fields defined in your company's profile field configuration. These can include:

  • Work fields – e.g., Designation, Department, Employment Type

  • Personal fields – e.g., Date of Birth, Gender, Father's Name, Address

  • Compliance fields – e.g., PAN, Aadhaar, UAN

  • Custom fields – any additional fields your company has configured as mandatory custom fields

The percentage is calculated as: (number of mandatory fields filled) ÷ (total number of mandatory fields) × 100, rounded to the nearest whole number.

Who can access this report?

Only users with an Admin role can access the Profile Completion Percentage report. The People tab under Analytics is not visible to non-admin users.

Tips

  • Use this report periodically to ensure employee records are complete before running payroll or compliance filings.

  • Share the list of incomplete fields directly with employees or their managers so they can update their profiles promptly.
