As an admin, how do I create a review cycle?

In this article, we will go through the steps on how an admin may create a review cycle and include goal-enabled reviews.

If you wish to conduct performance appraisals, you may easily do so with Asanify's performance management system.

You may choose to include goal-enabled reviews as part of the review cycle as well.

Here is a step-by-step guide.

Step 1: Go to the Performance tab and initiate the review cycle creation process.

Step 2: Fill in the necessary details.

Step 3: Select the feedback forms that you need the review cycle participants to fill.

Step 4: View the goal settings (applicable only if you choose goal-enabled reviews).

Step 5: Add reviewees who will participate in the review cycle.

Step 6: View the summary and create the review cycle.

Step 1: Go to the Performance tab and initiate the review cycle creation process.

  • Click on the Performance tab in the left navigation bar.

  • Click on the Review Cycles option.

  • Click on the Create a Review Cycle button.

Step 2: Fill in the necessary details.

  • In the first field, fill in what you would like your review cycle to be called.

  • You may enter a description for your review cycle in the next field.

  • Select how frequently you would like to carry out this review cycle. You may select Once if you wish to carry out the review only at one particular time. You may select Repeating if you wish to carry out the review multiple times.

  • The review cycle period is the period for which the reviewee’s performance is measured. You may set the review cycle timeline by choosing the start and end dates.

  • You may click on the date that is prefilled in the Select Review Cycle Period Start option and select the start date from the pop-up. Click outside the pop-up and the date that you have chosen will be selected.

  • You may do the same for the Select Review Cycle Period End option.

  • After you enter these details -> Click on the Select Feedback Forms button which is present at the bottom of the screen.

Step 3: Select the feedback forms that you need the review cycle participants to fill.

  • There are 4 types of reviews that are available i.e., Self review, Downward review, Upward review, and Peer review. Each one has been described below.

  • You may select the types of feedback forms that you want participants to fill out for each type of review.

Self Review

  • If you want your review cycle participants to submit a self-review, you may use the toggle button available next to it to display Yes. If the toggle button displays No then the participants won't have to submit a self-review.

  • You may choose the type of self-review feedback form that the participants need to submit.

  • You may click on the Select Self Review Feedback Form dropdown and choose the form that you want your participants to fill out by clicking on it.

  • If you wish to see the questions provided in the feedback form that you have selected, you may click on the View Questions button.

  • You can see the list of questions that are included in the feedback form that you have chosen.

  • If you want your reviewees to review their own goals (review the goals for which they are the goal owners), choose the Yes radio button. If you do not want your reviewees to review their own goals, choose No.

Manager Review

  • If you want your managers to review their direct reportees you may use the toggle button to display Yes. If you do not want your managers to review their direct reportees, use the toggle button to display No.

  • You may click on the dropdown and choose the form that you want your participants to fill out by clicking on it. You may view the questions included in the form that you have selected by clicking on the View Questions button.

  • If you want your managers to review their direct reports' goals (goals for which direct reports are the goal owners), choose the Yes radio button.

Direct Reportee Review

  • If you want your managers to be reviewed by their direct reportees you may use the toggle button to display Yes. If you do not want your managers to be reviewed by their direct reportees, use the toggle button to display No.

  • You may click on the dropdown and choose the form that you want your participants to fill out by clicking on it. You may view the questions included in the form that you have selected by clicking on the View Questions button.

  • If you want direct reports to review their manager's goals (goals for which managers are the goal owners), choose the Yes radio button, else select No.

Peer Review

  • If you want peers who share the same manager to review each other, you may use the toggle button to display Yes. If you do not want peers to review each other, use the toggle button to display No.

  • You may click on the dropdown and choose the form that you want your participants to fill out by clicking on it. You may view the questions included in the form that you have selected by clicking on the View Questions button.

  • If you want peers to review another peer's goals (goals for which the peer is the goal owner), choose the Yes radio button, else select No.

  • After you have finalized the feedback forms that you wish to use in the review cycle -> Click on the Configure Goals/Add reviewees button at the bottom of the screen.

  • The Configure Goals button will be visible only if you have chosen goal-enabled reviews. If you have not chosen goal-enabled reviews then the Add reviewees button would be visible.

Step 4: View the goal settings (applicable only if you choose goal-enabled reviews).

  • You can view the goal-related settings on this page.

  • Please note the following if you have chosen goal-enabled reviews.

  • All the goals (goals for which a reviewee is the goal owner) with an end date between the review cycle period timeline will be included in the goal-enabled review.

  • All the goals (goals for which a reviewee is the goal owner) with a start date between the review cycle period timeline will be included in the goal-enabled review.

  • All the goals (goals for which a reviewee is the goal owner) with a start and end date both between a review cycle period timeline will be included in the goal-enabled review.

  • Click on the Add Reviewees button.

Step 5: Add reviewees who will participate in the review cycle.

  • Reviewees are the subject of your review. These are the people who will be reviewed with the help of the feedback forms that you have chosen.

  • You may select your reviewees by typing their names in the search option or using the scrollbar and clicking on the reviewees' names.

  • After you click on a reviewee their name will appear in the selected column. If you wish to remove a reviewee you may click on the red cross icon next to the person's name.

  • After you have selected the reviewees, click on the Preview Specific Reviewers button.

  • You may easily view each Reviewee - Reviewer pair. For each reviewer, their role with respect to the reviewee is also displayed in brackets. E.g., Hemant S is Sophia Dsouza's peer.

  • Click on the Confirm Reviewers button at the bottom of the screen.

Step 6: View the summary and create the review cycle.

  • Here you can see the summary of the review cycle. View the types of feedback, goal settings, and reviewee - reviewer pairs.

  • Click on the Create Review Cycle button at the end of the page to create the review cycle.

  • Your review cycle has been created. After your review cycle has been created, you will automatically be taken to the review cycle’s page where you may choose to start the review cycle.

  • IMP: Currently, the participants of this review cycle will NOT be permitted to fill out any review forms as the current status of all stages will be displayed as Not Started.

  • After you update the review cycle stage from Not Started to In Progress you can ensure that your participants are permitted to fill the review forms. You may refer to the article on the Steps on how to allow reviewers to start filling reviews.
